Yep, I have been working on a database system to be the backbone to my company's office. I've talked about this in the past but I don't have much time to work on it. I tried contacting a few "pros" to pick up where I left off but none seemed to thrilled.
Anyways, this system will work similiar to the big boy's systems. A new lead comes in and it's entered into the system. The lead is accepted, or assigned, to a salesman and after the lead becomes an estimate further information is entered into the system.
Leads and customer information isnt the only duty of this system. A major problem I have had with nearly all of my assistants is that they only do what I tell them. If I tell them do something every tuesday of every week, I have to remind them every tuesday or it doesnt get done. If I tell them to call someone they think leaving a message and waiting for a call back is a job well done.
To counteract this problem there will be a ticket system, much like tech companies use for their tech support customer management. I assign a task to an employee and they can never lose or delete that ticket. They can update it's status, which will automaticlaly be e-mailed back to me. If I don't like the update, such as "left message", I can re-open the ticket. Every day I see what they did and didn't do. Every day they see what they have to do.
Another nice thing is I plan to make this program web accessible. This means a remote salesman doens't need to come to the office, all his leads are online. If I don't have time to get to the office I can tell an assistant what needs to be done or review my leads, or even look up a customer's name and address from on the road!
